Confirm Newly Scheduled Work

Send a one-time email or text when an assessment or job is first placed on the schedule.

Purpose of a booking confirmation

A booking confirmation tells the client that their assessment or job has been added to your schedule. It includes the initial schedule details and a link to view upcoming appointments.

Send it once after booking:

  • A request with a scheduled assessment
  • A one-off job with a visit
  • A recurring job with one or more visits

Pair it with Appointment Reminders for ongoing notices before each appointment.

When a confirmation can be sent

The request or job must contain at least one scheduled appointment. A confirmation cannot describe upcoming work when the request has no assessment or the job has no visits.

The action is available while the work is upcoming or scheduled for today. Later workflow stages prioritize completion, billing, or closeout actions instead.

When an approved online booking automatically creates the appointment, Fieldified can send the confirmation as part of that approval flow.

Send from a request or job

  1. Open the request or job.
  2. Confirm that the assessment or visit schedule is correct.
  3. Select Send Booking Confirmation.
  4. Choose text or email.
  5. Review the recipient and message.
  6. Send the confirmation.

The primary text-enabled phone number is selected for a text when available. The primary email is selected for email delivery.

Send by text

The text preview includes the client and appointment variables from the saved template. Review:

  • Recipient phone number
  • Business identification
  • Work or appointment summary
  • Appointment link
  • Message segment count

Customize the text for this booking when an additional access or preparation detail is required.

Send by email

The email preview can include the first appointment date and location. Before sending, you can:

  • Edit the subject and message
  • Add a thank-you or preparation instructions
  • Attach supporting files
  • Change the reply-to recipient
  • Enable Send Me a Copy

The copy is sent as a BCC to the user sending the confirmation.

Default booking messages are maintained in Email Templates.

Send while creating a visit

You can send the confirmation directly from Schedule.

  1. Create the visit.
  2. Open the menu beside Save.
  3. Select Save and Email Booking Confirmation or Save and Text Booking Confirmation.
  4. Review the generated message.
  5. Select Send.

Fieldified saves the visit before preparing the message, ensuring the confirmation uses the final appointment information.

Save and send from new work

When creating a request or job:

  1. Complete the client, property, schedule, and team fields.
  2. Open Save and….
  3. Choose the booking-confirmation channel.
  4. Review the message.
  5. Send it.

This combines record creation and confirmation without requiring you to reopen the new work item.

What the client receives

The email button or text link opens the client’s appointment view.

The client can review:

  • Today’s appointments
  • Upcoming appointments
  • Recent past appointments
  • Date and time
  • Property location
  • Arrival window
  • Assigned team members

For recurring work, the appointment view groups the upcoming visits instead of requiring a separate booking message for every visit.

Booking notice versus appointment confirmation

A booking confirmation communicates that the work has been scheduled. It does not require the client to acknowledge each appointment.

An appointment reminder is sent before a specific visit or assessment and can include Confirm Appointment. When the client confirms from a reminder, Fieldified updates the appointment’s confirmation status.

Confirmed appointments can be identified from:

  • The activity feed
  • The client profile
  • The job’s visits
  • The visit detail

Use booking confirmations for the initial handoff and reminders for appointment-specific acknowledgement.

Review delivery activity

Booking confirmations appear in the communication history for the client and related work.

Review:

  • Delivery channel
  • Recipient
  • Sent time
  • Delivery status
  • Message preview
  • Failure reason when available

Administrators can receive an alert when an email cannot be delivered. Correct the recipient information before sending another copy.
