Converting a quote to a job

Learn how to convert an approved Fieldified quote into a job while carrying client, property, pricing, notes, and scheduling details into the work record.

Converting a quote to a job moves approved scope into operations. Fieldified carries quote details into the new job so your team can schedule visits, assign team members, and prepare invoicing.

Open Quotes.

When to convert

Convert a quote after the client has approved the work or when your team has confirmed approval outside the client portal.

Before converting, review:

  • Quote status.
  • Client and property.
  • Approved line items.
  • Optional items selected by the client.
  • Deposits or payment schedule.
  • Salesperson.
  • Custom fields.
  • Notes and attachments.

If the client requested changes, revise and resend the quote before converting.

Convert the quote

From the quote detail page, choose the convert-to-job action.

For approved quotes, Convert to Job is the main next step. For other quote statuses, use the more actions menu when your workflow allows conversion.

After selecting Convert to Job, review the job creation page.

What transfers to the job

The new job can include:

  • Client.
  • Property.
  • Job title from the quote title.
  • Products and services.
  • Approved line items.
  • Selected optional line items.
  • Unit prices and totals.
  • Salesperson.
  • Transferable custom fields.
  • Deposit or payment schedule details.
  • Notes and attachments.

The job reflects the quote as it existed at the moment of conversion. If you edit the quote later, those changes do not automatically update the job.

Set up the job

After conversion, complete the job setup.

Review:

  • Job type.
  • Visit schedule.
  • Assigned team members.
  • Job forms or checklists.
  • Internal notes.
  • Invoicing schedule.
  • Deposit application.

Open Jobs to continue managing the work after conversion.

Multiple jobs from one quote

You can create more than one job from the same quote when the approved work should be split operationally.

This is useful for:

  • Multi-phase projects.
  • Different crews.
  • Separate properties.
  • Different service dates.
  • Work that should be invoiced separately.

Return to the quote and use Convert to Job again for each additional job.

After conversion

After a quote is converted:

  • The quote status changes to converted.
  • The job contains the approved scope.
  • The job can be scheduled.
  • The deposit can be applied to future invoicing.
  • The quote remains available as the source record.

Use Schedule to plan visits and Invoices when the job is ready for billing.
