Client archiving

Remove inactive clients from the active list while preserving their work and billing history.

What is client archiving?

Archiving removes an inactive client from the active client list while preserving their profile, quotes, jobs, invoices, payments, notes, and other history.

Use archive when the relationship is inactive but the record should remain available.

How to archive a client

Only administrators can archive clients.

  1. Open Clients.
  2. Select the client.
  3. Open More actions.
  4. Select Archive.

The client must have no active work. Resolve:

  • Requests and quotes by converting or archiving them.
  • Jobs by closing them.
  • Invoices by paying them or marking the uncollectible balance as bad debt.

After all active work is resolved, archive the client again. The profile displays an Archived label.

To restore the client, select Unarchive on the profile.

Creating new work for an archived client automatically restores them to active status.

Where can I see archived clients?

From the Clients list, filter by:

  • Active.
  • Leads.
  • Active and leads.
  • Archived.
  • All.

Archived clients remain included in reports.

Archive and unarchive events appear in the activity feed, including automatic restoration when an archived client submits a request.

What will my archived client see?

Archived clients retain Client Hub access.

They can still review:

  • Past quotes.
  • Invoices.
  • Appointment history.
  • Other shared documents.

Client Hub does not display the internal archived label.

An archived client can submit a new request. The request automatically unarchives the client and appears in the Requests workflow.

How can I archive many clients at once?

For a large list:

  1. Export client records.
  2. Locate the Archived column.
  3. Change FALSE to TRUE for clients to archive.
  4. Save the spreadsheet.
  5. Import the updated client file.
  6. Review the archive selections during import.

Clients with active work cannot be archived by import. The import identifies blocked records so their active work can be resolved before retrying.

Archived clients and accounting integrations

Archived clients continue syncing as existing clients.

Invoices, payments, and other pending financial records continue through the configured accounting synchronization even when the client is archived before the next sync.
