Reminders and team assignments

Learn how to remind your team about new assignments and upcoming appointments.

Assignment emails, team reminders, and push notifications help keep team members aware of new jobs, visits, tasks, and day-of schedule changes.

Overview

Fieldified supports two reminder categories on the schedule:

  • Workflow reminders: Quote reminders and invoice reminders that help sales and billing work move forward.
  • Team assignment reminders: Emails and push notifications that keep team members aware of assigned work.

Use the schedule type filter to show or hide reminders when the calendar is crowded.

Reminders on the schedule

Schedule reminders help you stay on top of follow-up work that is not a visit, task, or event.

Quote reminders

Quote reminders appear when a quote has been sent and still needs follow-up. They help the team manually follow up on open quotes that have not been approved.

Quote reminders are different from client-facing quote follow-up emails. A reminder is for your team; a follow-up is sent to the client.

Use quote reminders to:

  • Contact the client.
  • Update quote status.
  • Revise requested changes.
  • Convert an approved quote to a job.
  • Archive or close quotes that are no longer moving forward.

Invoice reminders

Invoice reminders appear when a job should be invoiced based on its billing setup. They help the team avoid missing payment collection.

Invoice reminders can be generated from:

  • One-off jobs that should be invoiced when closed.
  • Recurring jobs with invoice frequency.
  • Jobs set to invoice after each visit.
  • Custom invoice schedules.

When an invoice reminder appears, open the related job or invoice workflow and create the invoice.

Team assignment reminders

Fieldified also supports several team reminder patterns:

  • Assignment email sent when a job is created.
  • Assignment email sent when a visit is edited.
  • Reminder before a scheduled appointment.
  • Mobile push notifications for same-day changes.

Use reminders to make sure the team knows what was assigned, when it starts, where to go, and what instructions apply.

Email team about assignment

Job level

Use job-level assignment email when creating a new job, especially for large projects, recurring jobs, or last-minute work.

The email can include:

  • Job title.
  • Client name.
  • Property address.
  • Start date and duration.
  • Visit schedule.
  • First visit date and time.
  • Assigned team members.
  • Link to view the job.

Visit level

Use visit-level assignment email after the job already exists and a specific visit needs to be shared or updated.

The email can include:

  • Visit title.
  • Date and time.
  • Instructions.
  • Assigned team.
  • Job number.
  • Property address.
  • Client contact details.
  • Link to view the job.

Team reminders

Team reminders are scheduled before an appointment starts. Use them to help team members arrive prepared and on time.

Common reminder options include:

  • No reminder.
  • At start time.
  • 30 minutes before.
  • 1 hour before.
  • 2 hours before.
  • 5 hours before.
  • 24 hours before.

Set the reminder from the visit or task assignment area.

Push notifications

Fieldified can send mobile push notifications for same-day schedule changes, including:

  • New assessments, tasks, or visits added today.
  • Assessments, tasks, or visits removed today.
  • Same-day appointments rescheduled.
  • Same-day task assignment changes.

Users must allow Fieldified notifications on their device.
