Quotes in the Fieldified App

Build, send, approve, revise, and collect deposits on quotes from the Fieldified App.

Overview

Quotes describe the products and services you are offering and calculate the expected price before work begins. Use the Fieldified App to build a quote on-site, present it to the client, collect approval or a signature, take a deposit, and convert the approved quote into a job.

The complete quote list is available from Quotes in the Fieldified web app.

Create a quote

Create a quote in any of these ways:

  • Tap quick create, select Quote, then choose a template or Create New Quote.
  • Open a request and select More Actions > Convert to Quote.
  • Open a client, tap Create, and select New Quote.

Templates are configured in the Fieldified web app and can then be selected in the mobile app. Quotes converted from a request inherit its client, property, and service context.

Client

Select a recently active client, search the client list, or tap Create New Client. Confirm the correct service property before adding pricing.

Overview

Add:

  • A job title describing the work being quoted
  • The responsible salesperson
  • Quote custom fields

The quote title describes this proposal. Review the job title again when the quote is converted into scheduled work.

Introduction

Create a polished opening with:

  • A header image
  • An introduction title
  • A description of your services or approach

Use a wide header image with consistent branding. An image around 1130 by 362 pixels works well across client devices.

Add products and services

Under Work, tap the add icon beside Line Items.

  1. Search or browse the products and services list.
  2. Select one or more items.
  3. Deselect any item added by mistake.
  4. Confirm the selection.
  5. Edit quantity, unit price, description, image, tax treatment, or optional status as needed.

Text-only informational items can be viewed in the app. Manage text blocks that do not carry quantity or pricing from the Fieldified web quote editor.

Create a new line item

  1. Tap the add icon in the line-item selector.
  2. Enter a name, description, unit price, and quantity.
  3. Add an image when it helps explain the service.
  4. Enable Optional when the client may choose the item.
  5. Enable Recommended when the optional item should be selected initially.
  6. Leave Save to Products and Services enabled to reuse it.
  7. Turn off Charge Taxes for Line Item when it is tax-exempt.
  8. Save the item.

Optional items are useful for packages, upgrades, and add-ons. The client can select or clear them while reviewing the quote.

To remove an item, open it and select More Actions > Remove Line Item.

Discount, tax, and total

Discount

Tap Discount, choose percentage or fixed amount, enter the value, and save it.

Tax

Tap the add icon beside Tax and select the applicable rate. A property’s default tax rate is applied automatically when configured.

Total

Fieldified calculates the subtotal and total from line items, optional selections, discounts, and taxes. Calculated totals cannot be edited directly.

Required deposit

Tap Required Deposit and enter the amount the client must pay before work begins.

When online payments are configured, choose the methods accepted for the deposit:

  • Credit or debit card
  • Bank payment
  • Saved payment method
  • In-person card reader
  • Offline payment record

You can require the client to save a payment method for future charges. Fieldified displays applicable transaction limits before bank payment is offered.

Present the quote

Use the presentation sections to give the client enough context to make a decision.

Attachments

Add detailed documents that the client can open with the quote.

Upload up to 10 consistent, relevant images showing the proposed work or previous results. Use AVIF, GIF, JPEG, PNG, or WebP images under 25 MB each.

Reviews

Add up to three connected customer reviews to reinforce trust.

Client message

Add a short message thanking the client, summarizing the next step, or clarifying an important part of the quote. Tap Save Message after editing.

Review and send the quote

Tap Send to preview the client-facing quote. Check:

  • Client and recipient details
  • Services, optional items, and images
  • Discount, tax, total, and deposit
  • Attachments and client message
  • Approval and payment options

The client can use the shared quote to select optional items, inspect images, approve, request changes, and pay a required deposit.

Send by text message

  1. Select Send by Text Message.
  2. Confirm the primary text-enabled phone number.
  3. Add other recipients when needed.
  4. Edit the message for this delivery.
  5. Send the quote link.

Keep the text within 1,600 characters. Every direct recipient can open the quote and receive related follow-ups. Send by email when you need to include additional file attachments.

Send by email

  1. Select Send by Email.
  2. Confirm the primary email or replace the recipients.
  3. Add CC recipients or change the reply-to address from more actions.
  4. Edit the email message.
  5. Enable Send Me a Copy when you need a BCC copy.
  6. Add device files, note attachments, or the quote PDF.
  7. Keep combined attachments at or below 10 MB.
  8. Send the email.

Direct recipients can open and act on the quote. CC recipients receive the email but are not enrolled in automated quote follow-up.

After delivery, the status changes to Awaiting Response. Tap Resend when another copy is needed. Administrators can also receive a push notification the first time the client views the quote.

Actions on a sent quote

Available actions follow the quote’s status.

An awaiting quote can show:

  • Approve
  • Resend
  • Archive
  • Delete

An approved quote can show:

  • Schedule Job
  • Collect Signature
  • Collect Deposit
  • Archive
  • Delete

Collect a signature

To approve in person:

  1. Tap Approve, or select More Actions > Collect Signature on an approved quote.
  2. Hand the device to the client to draw their signature.
  3. Tap Confirm.

Tap Skip when a signature is not required. A captured signature is added to the quote PDF and saved in the record history.

Collect a deposit

When a required deposit exists, Fieldified prompts for it after signature collection or approval. You can also select More Actions > Collect Deposit on an approved quote.

Choose a payment method:

  • Charge a saved card
  • Add and charge a new card
  • Save the new card for future use
  • Use an in-person card reader
  • Record cash, check, bank transfer, money order, or another offline method

Offline methods record a payment received outside Fieldified; selecting one does not move money.

Add reference details such as the payment date or check number, then tap Collect Deposit. After collection, open the receipt to review it or email a copy to the client.

Changes requested

When the client asks for revisions, the quote moves to Changes Requested and their comments appear on the quote.

Edit the quote

  1. Read the client’s requested changes.
  2. Open existing line items to edit them.
  3. Tap the add icon to add services.
  4. Update other quote fields as needed.
  5. Review the recalculated subtotal and total.
  6. Tap Resend.

Use the phone or message icon when the requested change needs clarification before editing.

Quotes list

Open Search, then select Quotes. Search by:

  • Client name or phone number
  • Property address
  • Custom field value
  • Product or service
  • Quote number
  • Quote title

Filter by status to focus on the same next action.

Quote statuses

  • Draft: The quote has not been sent and is visible only internally.
  • Awaiting Response: The quote was sent and needs approval or a change request.
  • Changes Requested: The client requested revisions.
  • Approved: The client or a team member approved the quote.
  • Converted: The quote was converted into a job.
  • Archived: The quote is retained internally but removed from active client access.
