Manage Your Product and Service Catalog

Build reusable line items, control pricing and booking behavior, and maintain the catalog with CSV imports and exports.

Catalog overview

The product and service catalog is your reusable price list. Saved entries can supply the name, description, price, tax behavior, and cost whenever they are added to a quote, job, or invoice.

Open Products & Services to manage the catalog.

Create a product or service

  1. Select Add Item.
  2. Choose Product or Service.
  3. Enter the item name.
  4. Add a client-facing description.
  5. Enter the unit cost, when used for job costing.
  6. Enter a markup or unit price.
  7. Add an image, when appropriate.
  8. Set the taxable or tax-exempt status.
  9. Save the item.

The unit cost is what the item costs your business. The unit price is what you charge the client. When markup is enabled, changing either value can recalculate the other value.

Images can help clients identify quote options, but their availability can differ between the online view and a generated PDF.

Make an item active or inactive

Active entries can be selected on quotes, jobs, invoices, and supported templates. Mark an entry inactive when it should remain in historical records but should not be offered on new work.

Changing or deleting a catalog entry does not rewrite line items already saved on existing records.

If an item’s tax status changes, documents created afterward use its current tax setting. Review the tax status before generating a new invoice from older work.

Configure online booking

For a service clients can book online:

  1. Open the service in the catalog.
  2. Enable online booking.
  3. Select the expected duration.
  4. Decide whether clients can choose a quantity.
  5. When quantity is enabled, enter the minimum and maximum.
  6. Save.

The duration shown to the client is also used to reserve time for the appointment.

Find and organize entries

Use search to find text in an item name or description. Sort the list by name or type, and change the page size when reviewing a large catalog.

Use clear, stable names so employees select the correct item and imports can match existing entries reliably.

Track item costs

Enable product and service costs when the business uses job costing.

Costs added to quote and job line items contribute to expected and actual profitability. Keep costs current when supplier pricing, labor inputs, or other direct expenses change.

Import a catalog

Use the import area in Products & Services to upload a CSV file. Start with the downloadable Fieldified sample so the expected headings and values remain intact.

Common columns include:

  • Name
  • Description
  • Unit price
  • Taxable
  • Type
  • Active

Additional columns can include:

  • Unit cost
  • Bookable
  • Duration in minutes
  • Quantity enabled
  • Minimum quantity
  • Maximum quantity

Use TRUE or FALSE for boolean columns. Use only numeric values in price and cost columns; do not include currency symbols.

Type values and other controlled values must match the sample file’s spelling and capitalization.

Update existing entries in bulk

To revise prices, costs, descriptions, tax status, activity, or booking options:

  1. Export the current catalog or prepare the sample CSV.
  2. Keep the existing item names unchanged.
  3. Update the required columns.
  4. Upload the CSV.
  5. Enable Update existing items.
  6. Review the import summary.
  7. Start the import.

Only matched entries are overwritten. Unchanged rows retain their current values.

When a connected accounting system controls catalog data, make the update in that system and sync it back to Fieldified to avoid the next sync reversing your changes.

Prepare a reliable import

Before uploading:

  • Split files that exceed the displayed file-size limit.
  • Remove formulas and currency symbols.
  • Confirm required headings remain unchanged.
  • Verify product and service type values.
  • Check taxable, active, and bookable flags.
  • Preserve leading zeroes in any identifier columns.
  • Test a small group before a large update.

If costs change while prices stay fixed, review the resulting markup after import.

Export the catalog

Select Export CSV from Products & Services.

Small catalogs can download immediately. Larger exports can be prepared in multiple files and delivered to the account email.

Use an export before a major bulk update so the previous values are available for comparison.

Save a new line item while working

When entering an unsaved item on a quote, job, or invoice, select Add to Products & Services to make it reusable.

Do not save the item when it is unique to one client or record, such as:

  • Special negotiated pricing
  • A property-specific material
  • A one-time discount
  • A custom scope item

Continue entering the line item’s details without adding it to the catalog.
