Adding text to quotes

Add explanatory text blocks to quotes without adding priced line items.

Text blocks add extra information to the body of a quote without adding quantity, unit price, or total. Use them when the client needs context before choosing, approving, or requesting changes.

When to add text

Use text blocks to:

  • Explain the scope of work.
  • Introduce optional line items.
  • Describe package choices.
  • Clarify exclusions.
  • Add warranty details.
  • Explain terms of service.
  • Add preparation instructions.
  • Introduce photos or attachments.

Text helps the quote read like a complete proposal instead of only a price list.

Add a text block

When creating or editing a quote, go to the products and services area.

Add a text block instead of a priced line item. A text block includes:

  • Heading or name.
  • Description.
  • Optional image, when helpful.

Text blocks do not include quantity, unit price, or total.

Add line items versus text blocks

Use a line item when the client is buying a product or service.

Use a text block when the client needs explanation, context, or instructions.

For example:

  • Add a line item for “Monthly mowing”.
  • Add a text block above optional packages to explain how the client should choose between them.

Reorder text

Place text where it helps the client understand the next set of items.

Use text before:

  • Optional add-ons.
  • Package choices.
  • Product selections.
  • Warranty terms.
  • Exclusions.

If a text block explains several line items, place it above those items so the quote reads in order.

Client view

When the client opens the quote, text appears in the body of the quote with the related line items. It does not add to the quote total.

Preview as client before sending to confirm:

  • The text is in the right location.
  • The language is clear.
  • Optional items are easy to understand.
  • Totals are not confusing.

Convert the quote to a job

When a quote with text is converted to a job, the text can carry forward as a zero-dollar informational item or note, depending on how the quote is structured.

Review the job after conversion so the team understands which items are actual work and which items are explanatory context.
