Overview
A job contains the overall scope of work. Visits are the individual scheduled appointments when your team performs that work at the client’s property.
When creating a job in the Fieldified App, you can configure:
- The client, property, title, instructions, and custom fields
- Products, services, and checklists
- A one-off or repeating visit schedule
- Assigned team members
- The invoicing schedule

Create a job
Create a job from:
- Schedule: Tap an empty time in day or week view and select New Job.
- Quick Create: Tap the add icon and select Job.
- Client Profile: Tap Create > New Job.
- Request: Select More Actions > Convert to Job.
- Quote: Select Schedule Job or Approve and Schedule.
Converted work inherits the client and property from the request or quote.
Select a client and property
Tap the add icon in the client section, select or create a client, then choose the service property. Confirm inherited information before continuing.
Add the work details
Under Overview, enter:
- Job Title: A concise description of the work
- Instructions: Access notes, safety information, or directions that should appear on each visit
- Custom Fields: Organization-specific job information
Under Line Items, select products and services from your saved list. You can select multiple items, edit their quantities, or create a new line item with a name, description, price, and quantity.
When creating a new line item:
- Leave Save to Products and Services enabled to reuse it.
- Turn off Charge Taxes for Line Item when it is tax-exempt.
Add checklists that team members must complete during visits. The job subtotal updates from its line items. Job records hold the work value; invoice-level taxes, discounts, deposits, and payment terms are applied during billing.
Set the schedule
The job schedule creates its visits.
- Select the start date.
- Set the start and end time.
- Remove both times to create Anytime visits.
- Set or adjust the arrival window.
- Choose the repeating frequency.
- For recurring work, set the duration in days, weeks, months, or years.
- Review the visit summary showing the expected visit count and first and last dates.
A non-repeating schedule creates a one-off job. A repeating schedule creates a recurring job.
Assign the team
The user creating the job is initially assigned.
- Tap Edit beside Assigned Team.
- Select every team member who should be assigned to all generated visits.
- Tap Save Assigned Team.
You can add a team member by entering their name, email, and mobile number. An email address lets the user receive an invitation and sign in. Administrators can refine their access from Manage Team.
Create the invoicing schedule
The available billing options depend on whether the job repeats.
One-off jobs
Enable Remind Me to Invoice When I Close the Job to create an invoice reminder at closeout. The invoice uses the job’s line items.
Turn the reminder off when this job should not prompt for an invoice.
Recurring jobs
Choose how the invoice amount should be built:
- One price per billing period: Invoice from the job-level line items regardless of completed visit count.
- Work completed per visit: Invoice from the line items recorded on each visit.
Then choose when Fieldified should prompt for invoicing:
- Last day of every month
- Whenever a visit is completed
- When the job is closed
- Do not remind me to invoice
Review the invoice frequency summary to confirm how many reminders will be generated and when the first and last reminders occur.
Visits
The job shows its next visits. Tap View All to see the complete visit history and filter by status, including late and unscheduled visits.
Open a visit from the job or Schedule. The visit screen can show:
- Client phone and messaging actions
- Work type and status
- Job or visit title
- Property address and map directions
- On-my-way message
- Scheduled date, time, and arrival window
- Active timer and daily time
- Complete Visit action
Tap the address or directions icon to open the route in the supported map app on your device.
Visit actions
Open more actions to:
- Get directions
- Schedule another visit for the job
- Delete this visit without deleting the job
Visit, Details, and Notes tabs
- Visit contains instructions, checklists, line items, schedule, and team assignment.
- Details links to the client and parent job and shows custom fields.
- Notes contains visit notes and attachments.
Instructions
Tap the add icon to enter visit-specific instructions or Edit to change existing instructions.
Checklists
Open a checklist and complete its configured fields. A checklist can include:
- Checkboxes
- Dropdowns
- Short and long answers
- Images
- Signatures
Tap Save to retain the entries. From more actions, save and email a copy to the client.
Completed checklists display a completed indicator. Incomplete required fields show an alert and progress count. When completing a visit with required answers missing, Fieldified prompts the team member to finish them.
Visit line items
Tap the add icon to add products or services to this visit. Open an existing item to edit its name, description, unit price, or quantity, or remove it.
Visit-level edits apply only to that visit and do not rewrite the parent job. Images inherited from an approved quote remain visible on the job and visits and are managed from the quote.
Schedule details
Tap the schedule date to:
- Move the visit to another date
- Remove the date and make it unscheduled
- Change the start and end time
- Remove the times and make it an anytime visit
Visit team
Tap Team, add or remove assignees, and select Save Team. This changes only the selected visit, not every visit on the job.
Details
From Details, you can:
- Update the visit title
- Open the client profile
- Open the parent job
- Review job custom fields
Edit job custom fields from the parent job so they remain consistent across visits.
Jobs list
Open Search, then select Jobs. Search by:
- Client name or phone number
- Property address
- Custom field value
- Product or service
- Job number
- Job title
Filter by status to focus on the jobs requiring the same next action.
Job statuses
- Active: Work is in progress.
- Upcoming: Future visits are scheduled.
- Today: At least one visit is scheduled today.
- Late: A scheduled visit date passed without completion.
- Unscheduled: One or more visits do not have dates.
- Action Required: The job is active but has no upcoming visits; schedule more work or close it.
- Requires Invoicing: An invoice reminder is due.
- Ending Within 30 Days: The configured job duration ends within 30 days.
- Archived: The job is closed and no further invoicing is required.
The job end date is calculated from its start date and duration; it is not necessarily the date of the final scheduled visit.
Actions on jobs
The primary action changes with the job’s status. Open more actions for the remaining choices.
Send a booking confirmation
For today, upcoming, or late work:
- Tap more actions.
- Select Send Booking Confirmation.
- Choose email or text.
- Review and send the message.
A booking confirmation tells the client the work has been placed on the schedule. Appointment reminders are separate messages tied to individual visits.
Go to visits
For a late job, tap Go to Visits to find the incomplete appointment and reschedule, complete, or remove it.
Close the job
Closing the job moves it to Archived or Requires Invoicing, depending on its invoice settings. If visits remain incomplete, Fieldified asks you to complete or remove them first.
Collect a signature
Select Collect Signature, let the client sign on the device, and confirm. The signature is saved as a PDF note on the job.
Create an invoice
For a job requiring invoicing, tap Create Invoice. Fieldified prepares the invoice from the job or visit line items according to the configured invoicing method.
Reopen the job
Open an archived job and tap Reopen Job to return it to active work.
Delete a job or visit
Select More Actions > Delete Job to remove the job and all its visits. To remove only one appointment, open that visit and select More Actions > Delete Visit.
