Import quotes

Import quote data from a CSV file when migrating or creating quotes in bulk.

Quote imports let you create multiple quotes at once from a CSV file. Use this workflow when you are moving into Fieldified from another system, uploading historical quotes, or preparing quotes in bulk from a spreadsheet.

Before you import

Quote imports create new quotes. Use them for new records, not for editing quotes that already exist in Fieldified.

Before importing, decide whether the file should:

  • Match quotes to existing clients.
  • Create new clients when no match is found.
  • Match quotes to existing properties.
  • Create new properties from address details.
  • Import line items, deposits, taxes, discounts, and internal notes.

Clean data matters here. A few minutes spent reviewing the spreadsheet usually saves much more time after the import.

Prepare your CSV spreadsheet

Start from the quote import template so the column headers match what Fieldified expects.

In the spreadsheet:

  1. Remove sample rows.
  2. Add your quote data.
  3. Keep the original column headers unchanged.
  4. Use accepted values for fields such as status, tax method, discount type, and taxable values.
  5. Save the file as a .csv.

Use UTF-8 encoding when saving the file. Avoid special characters in names, addresses, and line item descriptions when possible.

Keep large imports manageable by splitting them into smaller files. This makes previewing, correcting, and confirming the import easier.

If you are importing many historical quotes, group files by date range, service line, location, or salesperson so validation errors are easier to review.

Import your quote CSV file

From Quotes, open the quote import action and begin the import.

The flow is:

  1. Upload the CSV file.
  2. Review the import preview.
  3. Fix any row or column errors.
  4. Confirm the import.
  5. Return to the import history to review progress.

Imports can run in the background, so you can continue working while the file is processed.

Cancel an import

If you notice the wrong file was uploaded or the preview shows data you do not want to import, cancel before confirming. If an import has already started, review the import status and cancellation option before continuing.

When an import is canceled, review the original spreadsheet, correct the data, then upload a clean file.

How clients are matched

Every imported quote must be connected to a client.

Fieldified matches clients using the strongest identifiers first. Use client IDs when you have them, then email address, then client name or company name.

When matching clients:

  • Spelling and values should match exactly.
  • Case differences are handled more safely than spelling differences.
  • Nicknames, abbreviations, and alternate company names can create duplicate clients.
  • Existing client records are not overwritten by quote import data.

Use Clients to review client records before importing a large file.

Create new clients

If no client match is found, Fieldified creates a new client from the CSV row.

Include at least one strong client identifier, such as:

  • First and last name.
  • Company name.
  • Email address.
  • Phone number.

When the file includes address and contact information, that data is added to the new client profile.

How properties are matched

Each imported quote should also be connected to the property where the work will happen.

Use a property ID when you have one. If the property ID is blank, Fieldified can create a new property from the address fields in the CSV.

Include:

  • Street address.
  • Unit or suite.
  • City.
  • State or province.
  • Postal code.
  • Country.

Accurate property data helps future jobs, visits, invoices, and service history stay connected to the right location.

Supported quote fields

Your CSV can include quote details such as:

  • Quote number.
  • Quote title.
  • Quote status.
  • Quote message.
  • Internal note.
  • Introduction title and body.
  • Contract disclaimer.
  • Salesperson.
  • Custom fields.

For statuses, use values your team recognizes in the quote workflow, such as draft or awaiting response.

Supported pricing fields

Quote import files can include:

  • Discount type.
  • Discount amount.
  • Deposit type.
  • Deposit amount.
  • Tax rate name.
  • Tax rate percentage.
  • Tax method.

Review tax and discount values before importing so quote totals match the original source.

Supported line item fields

Each quote can include products and services as line items.

Line item columns can include:

  • Category.
  • Name.
  • Description.
  • Quantity.
  • Unit price.
  • Cost price.
  • Taxable status.

Use Products and Services to keep reusable quote items clean after the import.

After the import

After importing:

  1. Filter the quotes list by created date.
  2. Open several imported quotes and review client, property, line item, tax, discount, and deposit details.
  3. Confirm imported quotes appear correctly in Quotes Conversion Report.
  4. Clean up duplicate clients or properties if the source data created them.
