Fieldworkers: how Fieldified works for your role

Learn how fieldworkers use Fieldified for schedules, visits, notes, checklists, time, and job progress.

Fieldworkers usually spend most of their time in scheduled work. Your role and permissions determine exactly what you can see and update.

Overview

This guide is for fieldworkers, technicians, service leads, and managers who work from the schedule and complete work on-site.

Most field workflows happen from mobile:

  • Clock in.
  • View schedule.
  • Open visit.
  • Send on-my-way message.
  • Start timer.
  • Add notes and photos.
  • Fill out checklists.
  • Complete visit.
  • Create invoice or collect payment when part of your role.
  • Clock out.

View your schedule

Start with Schedule to see assigned visits, tasks, events, or assessments. Open the scheduled item to review the client, property, time, instructions, and related job or request details.

Schedule management

Start your day by clocking in

Open Timesheets or the mobile time sheet area and clock in at the start of the day. This starts your general timer.

As you start and stop timers throughout the day, time entries appear on your timesheet. Edit a time entry when you need to correct time, add a note, or connect time to the right job.

View your schedule

Use schedule views to choose how much of the day or week you want to see.

Useful views include:

  • Day view for one day at a time.
  • Week view for several days.
  • List view for appointments in order.
  • Multi-day view for short-range planning.
  • Map or route view for appointments with addresses.
  • Team view for managers who can see multiple team members.

Use view options to choose the date range, schedule type, and team members shown.

Do the work

During the visit, use Fieldified to:

  • Review job instructions.
  • Add notes and attachments.
  • Complete checklists.
  • Track time in Timesheets if your company uses timesheets.
  • Update the visit or job status according to your company process.

Visits: doing the work

Open a visit from your schedule to review:

  • Client name.
  • Property address.
  • Contact details.
  • Visit time.
  • Job instructions.
  • Notes.
  • Checklists.
  • Line items.
  • Related job or request.

Send an on-my-way message

When you are heading to the client, send an on-my-way message from the visit. Choose the estimated arrival time and confirm the client contact.

Start a visit timer

Start the visit timer when work begins. This connects time to the job and helps timesheet and labor reporting stay accurate.

Add notes and files

Use internal notes for information your team needs to see later. Add photos, files, or details that help with invoicing, follow-up, quality review, or future service.

Use notes for:

  • Before photos.
  • Completed work.
  • Access issues.
  • Extra work needed.
  • Materials used.
  • Client questions.
  • Safety or quality notes.

Save the note before leaving the visit.

Complete checklists

Checklists help your company collect consistent information in the field. Fill out required fields before saving or completing the visit.

Checklist fields can include checkboxes, dropdowns, text fields, photos, file uploads, and signatures. If a checklist is blank when you complete a visit, Fieldified can remind you to fill it out before closing the visit.

When a client needs a copy, send or download the completed checklist according to your company process.

Stop the timer and complete the visit

When the work is finished:

  1. Stop the visit timer.
  2. Add final notes and photos.
  3. Complete required checklist fields.
  4. Mark the visit complete.
  5. Choose the next job action.

Depending on job setup and permissions, completion options may include:

  • Close job and invoice now.
  • Close job and invoice later.
  • Leave job open.

Use “invoice later” when the office team should review billing before sending an invoice.

Invoicing and payments

If your role includes invoicing, create an invoice after completing a job or visit.

Review:

  • Line items.
  • Quantity.
  • Unit price.
  • Discount.
  • Tax.
  • Deposit.
  • Client message.

Send the invoice by email or text. If the client is ready to pay, collect payment from the invoice.

Payment details can include:

  • Method.
  • Amount.
  • Transaction date.
  • Check or reference number.
  • Notes.
  • Signature.

Payments can be full or partial.

End of day

At the end of the day, return to timesheets and clock out. This stops the general timer and closes out the workday.

Track progress

If your role includes job or invoice updates, review Jobs before marking work complete or telling the office team the job is ready for the next step.

Team leads and service managers can also review:

  • Recent clients.
  • Recently updated requests.
  • Quotes.
  • Jobs.
  • Invoices.
  • Work statuses.
  • Client notes.

Use search to find clients by name, phone number, address, custom field, line item, quote/job/invoice number, request title, client notes, or transaction number.

Practice tasks

  • Open a scheduled test visit.
  • Add an internal note.
  • Attach a photo or file.
  • Complete a checklist.
  • Review the related job details.
  • Clock in and clock out.
  • Send an on-my-way message.
  • Start and stop a visit timer.
  • Complete a visit.
  • Create an invoice from a completed visit.
  • Collect a test payment if your role includes payments.
  • Search for a client or recent job.
