Import clients

Prepare and import client, property, communication, balance, tag, and custom-field data.

Overview

Client import creates or updates many clients from a structured spreadsheet.

Supported file formats include CSV, TSV, and PSV. CSV is the standard format.

Run accounting synchronization before importing clients already present in the accounting platform to reduce duplicates.

Client import requires administrator access and a standard browser session.

How to save a CSV

Excel

Select File, Save as, then choose CSV.

Google Sheets

Select File, Download, then choose CSV.

Numbers

Select File, Export to, then choose CSV.

Supported column headers

Client identity

  • First Name or Given Name.
  • Last Name or Family Name.
  • Full Name.
  • Title.
  • Company Name, Company, Organization Name, or Org.
  • Is Company? (TRUE or FALSE).
  • Name.

Phone and email

  • Main Phone.
  • Home Phone.
  • Work Phone.
  • Mobile Phone.
  • Fax Phone.
  • Other Phone.
  • Email, with multiple addresses separated by commas.
  • Text Message Enabled Phone Number.

Property address

  • Street or Address.
  • City.
  • Province or State.
  • Country.
  • Postal Code or Zip Code.

No property is created when the Street field is blank.

Billing address

  • Billing Street.
  • Billing City.
  • Billing Province or Billing State.
  • Billing Postal Code or Billing Zip.
  • Billing Country.

Communication and account fields

  • Receives automatic visit reminders?
  • Receives automatic job follow-ups?
  • Receives automatic quote follow-ups?
  • Receives automatic invoice follow-ups?
  • Account Balance.
  • Archived.
  • Note.
  • Tags, separated by commas.
  • Lead Source.

Supported imported lead sources include Facebook, Google, Instagram, Flyer, Referral, Vehicle Wrap, and Other.

Unmatched headings can be mapped manually or imported as text-based client custom fields.

The file must be smaller than 2.5 MB, approximately 5,000 rows. Split larger migrations into several imports.

Importing a CSV client list

  1. Open Clients.
  2. Select More actions, then Import clients.
  3. Select Begin import.
  4. Upload the file.
  5. Review automatic field mapping.
  6. Correct mismatches or create custom fields.
  7. Review sample values beside each mapping.
  8. Continue.
  9. Review rows and filter to invalid records.
  10. Correct errors.
  11. Select Import.

Validation includes:

  • Name: A person or company name must exist.
  • Email: Must use valid formatting; multiple addresses are comma-separated.
  • Account balance: Must contain a valid number.
  • Title: Must match a supported title.
  • Client ID: Exported IDs must retain their original format.

Import continues in the background. Completed clients appear on the Clients list.

Importing multiple properties for the same client

Create one row per property.

Each row should repeat the client’s identity and billing information while using a different service address.

When adding properties to an existing Fieldified client:

  1. Export the client list.
  2. Duplicate the client’s row for each new property.
  3. Replace the service address.
  4. Leave the client ID blank on the additional-property rows.
  5. Import the file.

Mass updates to clients using the import process

Import can update:

  • SMS-enabled phone number.
  • Automated reminders and follow-ups.
  • Archived status.
  • Tags.
  • Other supported client details.

Importing custom fields

Only text-based client custom fields are imported through this workflow.

  1. Name the spreadsheet column after the desired custom field.
  2. On field mapping, select Add as new field.
  3. Continue the import.

When a matching field exists, values map to it. Otherwise, Fieldified creates a new client text field using the column heading.
