Import jobs

Import jobs from a CSV file when migrating or creating jobs in bulk.

Job imports help you move scheduled, recurring, or historical work into Fieldified from a spreadsheet. Use a CSV import when you are migrating from another system, rebuilding a schedule, or creating many jobs at once.

How job imports work

The import creates jobs from a CSV file.

It can create:

  • One-off jobs.
  • Recurring jobs.
  • Clients.
  • Properties.
  • Scheduled visits.
  • Job notes.
  • Line items.
  • Invoice reminder settings.

If a client or property already exists, Fieldified matches the import to the existing record when the data matches. If no match is found, Fieldified creates a new client or property.

Prepare your spreadsheet

Start with a clean spreadsheet and save it as a CSV.

Before importing:

  • Keep column headers consistent.
  • Use accepted values for repeating schedules and invoice reminders.
  • Confirm client names.
  • Confirm property addresses.
  • Confirm job dates and times.
  • Split large imports into manageable files.

Review the first few rows carefully before uploading a large file.

Supported job fields

Your CSV can include:

  • Job title.
  • Instructions.
  • Repeating status.
  • Duration unit.
  • Duration length.
  • Job number.
  • Client name.
  • Client phone.
  • Client email.
  • Notes.
  • Property address.
  • Schedule date.
  • Start and end time.
  • Assigned team member.
  • Line items.
  • Invoice reminder.
  • Billing frequency.

Import a repeating schedule

Use the repeating column to decide whether a job imports as one-off or recurring.

For recurring jobs, include:

  • Start date.
  • End date or duration.
  • Repeat frequency.
  • Visit timing.
  • Billing frequency.
  • Invoice reminder behavior.

Recurring job import is useful for weekly, monthly, seasonal, and ongoing service contracts.

Invoice reminder options

Invoice reminder settings control when the job prompts billing.

Common options include:

  • When the visit is marked complete.
  • When the job is marked closed.
  • Last day of every month.
  • Do not remind me to invoice.

Choose the reminder that matches how the work should be billed.

Start the import

From Jobs, open the import action and choose the CSV import.

The flow is:

  1. Begin the import.
  2. Upload the CSV file.
  3. Map incoming fields to Fieldified fields.
  4. Review the data preview.
  5. Fix invalid rows.
  6. Confirm the import.

If a column is not needed, leave it unmapped.

Review the data preview

Before confirming, review:

  • Client names.
  • Property addresses.
  • Dates and times.
  • Repeating schedules.
  • Assigned team members.
  • Line items.
  • Invoice reminders.

Invalid rows should be corrected before import. Use the invalid filter to focus only on rows that need work.

After import

After the import runs, review the imported records.

Check:

  • Jobs list.
  • Schedule.
  • Client profiles.
  • Property profiles.
  • Imported line items.
  • Billing reminders.

Open Schedule to confirm visits appear on the correct dates.

Duplicate job numbers

If an imported job uses a job number that already exists, Fieldified assigns the next available job number. Review imported job numbers when your old system used a different numbering pattern.

Imported reminders

Imported jobs follow the client’s communication and reminder settings. Review client communication preferences if a job should not send visit reminders.

Duplicate clients or properties

Duplicate records usually happen when names or addresses do not match the existing record exactly.

To reduce duplicates:

  • Match existing client names.
  • Match property addresses.
  • Use consistent spelling.
  • Avoid alternate company names.
  • Review test imports before a full import.

Team member assignment

Assigned team members must exist in Fieldified to be assigned during import. If the user is not found, review the imported job and assign the team member manually.

Job status after import

Fieldified assigns job status from the imported schedule.

Typical behavior:

  • Future jobs become upcoming.
  • Current jobs become active.
  • Past jobs become archived.
  • Jobs without dates become unscheduled.

Use Jobs list page and key metrics to review imported statuses.
