Job basics

Create, edit, schedule, complete, and invoice jobs in Fieldified.

Jobs are where confirmed work is scheduled, assigned, completed, and invoiced. A job connects the client, property, scope, visits, team assignments, line items, checklists, notes, labor, expenses, and billing workflow.

Jobs and visits

A job is the full agreement or scope of work. A visit is each scheduled appointment where work happens at the property.

Job types include:

  • One-off jobs: Work that happens once, even if it has multiple visits.
  • Recurring jobs: Work that repeats on a schedule and may invoice more than once.

Once you choose a job type, keep the workflow consistent. If the work changes significantly, create a new job that matches the new workflow.

Anatomy of a job

A job detail page is split into sections so each team can manage the part they own.

Common sections include:

  • Job overview.
  • Products and services.
  • Labor.
  • Expenses.
  • Scheduled visits.
  • Billing.
  • Chemical tracking.
  • Internal notes and attachments.

Edit each section from the job page when details change.

Job overview

The job overview includes high-level details:

  • Job status.
  • Client.
  • Job title.
  • Property address.
  • Contact details.
  • Job number.
  • Job type.
  • Start date.
  • End date.
  • Billing frequency.
  • Automatic payment details.
  • Schedule.

The job title appears internally on the schedule and in team workflows. Use a clear title that helps the team understand the work.

Products, services, labor, and expenses

Products and services define what is being charged.

Add line items from Products and Services or create custom line items for the job.

Labor and expenses help managers understand actual cost:

Scheduled visits

The scheduled visits section shows when the team is expected to complete work.

Each visit can include:

  • Date and time.
  • Status.
  • Title and instructions.
  • Assigned team member.
  • Checklists.
  • Custom visit line items.

Use the visit status filter to review complete, incomplete, or all visits.

Create and edit visits

Visits can be created automatically from the job schedule or manually from the job.

Use visit editing to:

  • Add another visit.
  • Change visit timing.
  • Assign team members.
  • Update instructions.
  • Add checklists.
  • Mark a visit complete.
  • Update incomplete visits across the job.

Open Schedule to review visit placement across the team.

Duplicate a visit

Duplicate a visit when another appointment should use the same client, property, job title, instructions, line items, and assignments.

After duplicating, review:

  • Date.
  • Time.
  • Team availability.
  • Route impact.
  • Visit instructions.

Duplicating saves time, but the new visit should still be checked before saving.

Custom visit line items

Use custom visit line items when one visit needs different pricing or services from the overall job.

This is useful for:

  • One-time add-ons.
  • Extra materials.
  • A different service level on one visit.
  • Visit-based billing changes.

Review custom visit line items before invoicing.

Billing

The billing section shows invoices and invoice reminders for the job.

Invoice reminders help trigger requires-invoicing status and remind the team when billing should happen.

One-off jobs usually invoice after completion. Recurring jobs can invoice per visit, on a fixed schedule, or at the end of a billing period.

Open Invoices to manage invoices.

Chemical tracking

Use chemical tracking when your business needs to record chemical, pesticide, or treatment details for compliance.

Review setup in Chemical Tracking.

Record:

  • Product used.
  • Quantity.
  • Application location.
  • Date and time.
  • Team member.
  • Notes.

Internal notes and attachments

Internal notes and attachments keep job context in one place.

Use them for:

  • Client call notes.
  • Site photos.
  • Completion photos.
  • Documents.
  • Access instructions.
  • Internal decisions.
  • Files needed by the field team.

Notes are internal by default. Attachments can be included in client communication when needed.

Create a new job

Create jobs from:

  • The create action.
  • The schedule.
  • A client or property profile.
  • An approved quote.
  • A request.
  • Online booking.

Use Create a one-off job for one-time work and Create a recurring job for repeating work.

Edit a job

To edit a job:

  1. Open Jobs.
  2. Select the job.
  3. Find the section you want to update.
  4. Edit that section.
  5. Save the changes.

Review related visits and invoices after changing schedule, scope, or pricing.

Actions on jobs

Job actions can include:

  • Close job.
  • Reopen job.
  • Create similar job.
  • Send booking confirmation.
  • Send job follow-up.
  • Generate invoice.
  • Download PDF.
  • Collect signature.
  • Export job cost details.

Use these actions to keep operations, client communication, and billing moving from the job record.

Jobs list

Use Jobs list page and key metrics to review job status, upcoming work, late visits, action-required jobs, and jobs that require invoicing.
