Supported record types
Custom fields can extend:
- Clients
- Properties
- Quotes
- Jobs
- Invoices
- Team members
Administrators define fields; authorized users complete them.
Create a field
Create one from Custom Fields or while editing a supported record.
Configure:
- Applies to
- Name
- Value type
- Default value
- Transferable behavior
Value types
Available types can include:
- Checkbox
- Number
- Area or dimensions
- Dropdown
- Text
Choose carefully. The type cannot normally be changed after creation.
Transferable fields
A transferable field carries its value forward through the workflow.
For example, a quote field can continue to its job and invoice. Values transfer forward, not backward.
Transferability cannot be removed later. Manage the field from its original record scope.
Integration fields
Connected apps can add managed fields. They can be reordered as a group. Disconnecting the app archives its fields until the integration is restored.
Complete and view fields
Fields appear on their record’s details and edit screens. Blank text or number values can remain hidden on the detail page while still being available for entry.
Manage fields
Edit
Field name and default value can be updated. Type and original transfer behavior remain fixed.
Archive
Archiving removes the field from new records while preserving historical values. Archived fields can be restored.
Delete
Deletion permanently removes the field and associated values. Archive first when historical reporting matters.
Reorder
Drag fields into the desired display order.
Show a field to clients
Fields are internal by default.
From Business Profile document settings, select which quote, job, or invoice fields appear on client documents and PDFs.
Do not expose internal notes, costs, access codes, or sensitive identifiers.
Reports
Custom fields can be selected as report columns for their corresponding record type. Archived and integration fields can remain available for historical reporting.
For linked business accounts, keep field names, types, and order consistent before producing combined exports.
Import client fields
Client imports can create or update supported text custom fields from spreadsheet columns.
Map unrecognized headings to Include as Custom Field. Review the generated field name before completing the import.
Performance and governance
Avoid excessive or duplicate fields. Maintain:
- Clear names
- One owner
- Defined purpose
- Controlled dropdown values
- Archive policy
- Privacy classification
