Prepare the Client Portal

Configure portal branding, navigation, quote approval, appointment visibility, referrals, and client rollout.

Before you configure the portal

The client portal uses business details from your account settings.

Before inviting clients:

  1. Review Company Settings.
  2. Confirm the public phone, email, website, address, and operating hours.
  3. Review Business Profile.
  4. Upload the correct logo.
  5. Confirm brand colors and social links.
  6. Preview the Contact section.

Your business name and logo identify the portal. The contact area uses the public company and profile information configured in these settings.

Open Client Hub Settings

Go to Client Hub Settings.

Changes affect the experience clients receive through secure portal links and the login link placed on your website.

Configure menu visibility

Choose whether quote and invoice history appears in portal navigation.

When a menu is hidden:

  • The client does not see that category in navigation.
  • A direct secure link previously sent for a specific document can remain usable.

Use record status, archiving, and link controls when access to the underlying document must also end.

Configure quote approval

Require a signature

Enable a client signature when quote approval must include a signed acknowledgment.

The collected signature becomes part of the quote’s audit record or internal history.

Allow change requests

Enable Clients Can Request Changes to add a change-request action.

When a client submits a request:

  1. They describe the required changes.
  2. The quote returns to your team for revision.
  3. The previous version is hidden from the portal.
  4. Your team edits the quote.
  5. The revised quote is resent or returned to awaiting response.
  6. The updated version becomes visible again.

Review requested changes before approving work or collecting a deposit.

Configure appointment visibility

Enable Show Scheduled Time when clients should see the appointment time or arrival window.

When disabled, clients can still see appropriate information such as:

  • Appointment date
  • Service location
  • Assigned professional, when shown

Request assessments and job visits can both appear in the appointments area.

Request-form visibility is controlled in request and booking settings. Enable the public form before expecting clients or referred leads to submit work through the portal.

Configure referrals

Enable client referrals to display referral prompts in eligible portal locations, such as invoices and navigation.

Customize:

  • Referral banner
  • Suggested sharing message
  • Destination request or booking form

Clients can edit the suggested message before sending it.

Confirm the destination form is publicly shareable. A referral link is not useful if the referred person cannot open the form.

Incoming referred requests can include the referring client’s identity. Use that relationship to measure referrals and manage any thank-you or reward process.

Test with delegate access

From an eligible client profile:

  1. Open the actions menu.
  2. Select Log In as Client.
  3. Review navigation and visible records.
  4. Check branding and contact details.
  5. Test desktop and mobile layouts.

Delegate access is for review. Payments and new work requests remain unavailable while acting as the client.

Announce the portal

Tell clients what the portal is for, how access works, and where secure links will appear.

You can adapt this message:

Subject: Your Fieldified client portal

Hello,

We now offer a secure client portal where you can review quotes, see upcoming
appointments, check invoices, download receipts, make eligible payments, and
request additional work.

We will send your personal access link by email. The same secure access option
can also appear in quote, appointment, and invoice messages, so there is no
separate password to remember.

Please contact us if you have any questions about your portal access.

Thank you,
[Business name]

Do not include one client’s personalized link in a general campaign or website button.

Launch checklist

  1. Verify public business details.
  2. Confirm logo and branding.
  3. Set quote and invoice menu visibility.
  4. Choose signature and change-request behavior.
  5. Choose appointment-time visibility.
  6. Test request forms.
  7. Configure referrals.
  8. Review as a client delegate.
  9. Preview a quote and invoice.
  10. Send access to a small test group.
  11. Publish the general portal login button.
  12. Announce the portal to clients.
