Quote templates help your team create professional, consistent quotes faster. Use them for repeated packages, seasonal offers, standard scopes, common project types, and quote layouts that should look the same every time.

Use templates when your team often quotes the same type of work.

Good examples include:

  • Seasonal maintenance offers.
  • Inspection-based recommendations.
  • Good-better-best options.
  • Recurring project types.
  • Commercial service scopes.

Templates keep pricing, terms, and client-facing language consistent across the team.

Create a quote template

From the quotes list, open templates and create a new template.

Build the template with:

  • Template name.
  • Quote title.
  • Line items.
  • Optional line items.
  • Deposit or payment schedule.
  • Client message.
  • Contract disclaimer.
  • Introduction.
  • Attachments.
  • Images.
  • Footer text or branded content.

Use clear template names so the team can choose the right one quickly.

Template permissions

Admins usually create and maintain templates. Team members who can create quotes can select a template, fill in client-specific details, preview it, and send it.

Keep template ownership limited enough that pricing and terms stay controlled.

Use a quote template

When creating a quote, choose a template or start from scratch.

After selecting a template:

  1. Add the client and property.
  2. Review quote title and salesperson.
  3. Adjust line items, quantities, and prices.
  4. Add client-specific photos, attachments, or text.
  5. Review deposits and payment schedule.
  6. Preview as client.
  7. Send the quote.

Templates should speed up quote creation without replacing the final review.

Some details should be reviewed on every quote because they vary by client or property.

Check:

  • Custom fields.
  • Internal notes.
  • Attachments from assessments.

  • Final quantities.

These fields should be confirmed before sending the quote.

Edit quote templates

Open the templates drawer, choose the template, and edit the section that needs updating.

Update templates when:

  • Pricing changes.
  • Scope changes.
  • Terms change.
  • Service names change.
  • Images or attachments need refresh.
  • Your team improves the sales language.

After editing a template, create a test quote from it to confirm the output looks correct.

Delete a quote template

Delete templates only when they are no longer needed.

Before deleting:

  • Confirm the template is not used by the team.
  • Create a replacement if the service still exists.
  • Save any important language or line items elsewhere.

Deleted templates are removed from the template list, so review carefully before confirming.

Products and services connection

Products and services in templates stay cleaner when they come from Products and Services.

When a template line item stays linked to a product or service, updates to name, description, cost, price, taxable status, or image can flow into future quote creation. If a line item is edited into a custom item, review it manually when pricing changes.

Template maintenance checklist

Review templates regularly:

  1. Confirm line item names and descriptions.
  2. Check pricing and cost assumptions.
  3. Review optional add-ons.
  4. Confirm deposits and payment schedules.
  5. Update client message and disclaimer language.
