Build a Client Referral Program

Configure referral incentives, invite clients, track referred work, apply credits, and measure referral revenue.

Turn client recommendations into trackable work

A referral program gives existing clients a unique way to recommend your business and earn credit after a successful referral.

Fieldified tracks:

  • The referring client
  • The referred lead or client
  • Jobs created from the referral
  • Job revenue
  • Pending, earned, and applied credits

Design the program first

Before enabling referrals, decide:

  • Who is eligible to refer
  • What counts as a successful referral
  • Whether the credit is fixed or percentage-based
  • When the reward is earned
  • How credits are applied
  • Whether the referred client also receives an incentive
  • Expiration or maximum-credit rules

Publish clear program terms. Review tax, consumer-protection, and industry rules applicable to referral incentives.

Set the referral incentive

  1. Open Marketing Tools > Referrals.
  2. Open referral settings.
  3. Enable referral credits.
  4. Choose Fixed Amount or Percentage.
  5. Enter the value.
  6. Review the earning event.
  7. Preview the credit notification.
  8. Save the program.

Authorized marketing users and administrators can manage the program.

Fixed credit

A fixed credit gives the same value for every successful referral.

This is simple to explain and predictable to apply.

Percentage credit

A percentage can scale the incentive based on the configured qualifying value. Confirm:

  • Which amount the percentage uses
  • Whether a maximum applies
  • How rounding works
  • Whether taxes are included

Explain the calculation in the program terms.

Invite clients to participate

Fieldified can provide a referral-specific email campaign from the referral dashboard.

Choose:

  • One-Time Invitation: Sent manually to a selected client segment
  • Automatic Invitation: Sent after an eligible job or event

Select the audience

Audience options can include:

  • Active clients
  • Clients with upcoming visits
  • Past clients without upcoming work
  • Clients with selected tags

Review the recipient list before sending. Exclude clients with unresolved complaints, communication opt-outs, or work that does not meet the intended eligibility.

Customize the email

Review:

  • Recipients
  • Sender identity
  • Reply-to address
  • Subject
  • Header image
  • Heading
  • Message body
  • Program terms
  • Call to action

The campaign includes a unique referral link for each client. The editor preview can show only a placeholder; do not copy the preview link into another message.

The rich-text editor can support:

  • Headings
  • Bold, italic, underline, and strike-through
  • Links
  • Images
  • Undo and redo

Verify the sending email

If the campaign sender has not been verified:

  1. Request the verification code.
  2. Open the company inbox.
  3. Enter the code before it expires.
  4. Return to the campaign review.

The company email in Company Settings is used for the sender and replies unless the campaign offers another verified option.

Send or schedule

Select Send to begin delivery immediately. A sent campaign cannot be recalled.

Select Schedule to choose a future date and time.

Editing a scheduled campaign returns it to draft and pauses its scheduled delivery until it is approved again.

How clients share the program

Each eligible client receives a unique referral link through:

  • Referral invitation emails
  • Client hub
  • A referral-sharing action

The share message directs the referred person to the request form and carries the attribution token.

The referring client can share the link, but should not enroll another person in marketing messages or claim terms not included in the program.

Record a referral

Referrals can be associated automatically or manually.

Automatic attribution

When a new person submits a request through a valid referral link:

  • Fieldified creates or matches the lead.
  • The lead source is set to referral.
  • The referring client is recorded.

Manual attribution

  1. Create or edit the referred client in Clients.
  2. Set Lead Source to Referral.
  3. Select the referring client.
  4. Save the record.

Add the referrer before the qualifying payment when possible. Resolve duplicate clients before awarding credit.

Referral credit lifecycle

Pending

A referred lead or job exists, but the qualifying invoice has not been paid.

Earned

The referred client completed the qualifying payment, making the credit available to the referring client.

Applied

The available credit was used on an invoice for the referring client.

Only one credit is earned for each referred client unless the program terms explicitly state otherwise.

Apply credits to invoices

When an earned credit is available, Fieldified can apply it to a manually created invoice for the referring client.

The credit appears below the invoice subtotal or in the discount-and-credit area.

When several credits are available:

  • The oldest eligible credit is applied first.
  • The configured number of credits is applied to one invoice.
  • Remaining credits stay available for future invoices.

Review the invoice before sending it.

Automatic-payment and mobile invoice workflows can handle credits differently. Confirm the credit is present before collecting or scheduling payment.

Open Invoices to review applied credits.

View referral information on clients

The referred client profile can show:

  • Referral lead source
  • Referring client
  • Referral date
  • Qualifying job
  • Credit status

The referring client profile can show:

  • Unique referral link
  • Referred clients
  • Available credit balance
  • Applied credits

Track referral performance

The referral dashboard can show:

  • Referral leads
  • Jobs created
  • Attributed job revenue
  • Leading referrers
  • Available credit liability
  • Latest referral campaign

The itemized list can include:

  • Referrer
  • Number of referred clients
  • Jobs
  • Revenue
  • Credit balance

Expand a referrer to review each referred client, first qualifying job, attributed revenue, and credit status.

Revenue can use the subtotal of the referred client’s first qualifying job. Review the displayed metric definition before comparing it with collected revenue.

Manage the program

Open Manage Referrals to update:

  • Incentives
  • Invitation campaigns
  • Automated invitation timing
  • Referral link message
  • Program status

Changes to the incentive generally apply to future referral activity. Document how existing pending or earned credits are handled before changing the amount.

Pause the program

Pausing should stop new invitations and new qualifying referrals without deleting historical attribution or earned balances.

Review the referral message

Preview the message clients share with friends. It should identify the business, explain the invitation, and link to the correct request form.

Prevent duplicate or inappropriate credits

Review:

  • Duplicate client records
  • Self-referrals
  • Shared household phone numbers or emails
  • Cancelled or refunded qualifying work
  • Test requests
  • Referrals already attributed through another client

Apply the published terms consistently and retain an audit trail for manual adjustments.
