Overview
The Fieldified App lets team members clock in, track time against scheduled work, and review their timesheets while they are in the field. Time recorded in the app is also available from the Fieldified web app for payroll review and reporting.
Fieldified separates tracked time into the activity that was being performed, such as:
- General time between appointments
- Time spent on a visit or job
- Time spent on an assessment
- Driving, office, supply, and break time when those categories are enabled
When you start an appointment timer, Fieldified moves tracking from general time to that appointment. When the appointment timer stops, general time can resume for the rest of your workday.
Time tracking availability
Access to time tracking and the available time categories is controlled by your company settings and user permissions. Administrators can configure team access from Manage Team.
Timers and network connectivity
Standard timers continue working when your device temporarily loses its internet connection. Fieldified stores timer changes on the device and synchronizes them when the connection returns.
While offline:
- You can start and stop standard timers.
- Automatic transitions between general and appointment time continue.
- Previously synchronized history and weekly totals may not load.
- Location-based timer reminders require a network connection.
Keep the Fieldified App open long enough to synchronize before signing out, uninstalling the app, or changing devices.
Start your day by clocking in
- Open the Fieldified App.
- From Home, tap Clock In.
- Confirm that the running timer appears at the top of the screen.
After you clock in, your daily total starts running. Time is recorded as general time until you start a timer for a visit or another activity. You can move around the app while the timer continues.
Tap View First Visit or View Next Visit from Home to open the next scheduled appointment.
Start tracking time on appointments
- From Home or Schedule, open the visit or assessment you are working on.
- Tap Start Visit or Start Time.
- Confirm that the appointment timer is running.
- Complete the work while Fieldified records time against the appointment.
- Tap Stop Timer, or complete the appointment when the work is finished.
Starting an appointment timer pauses general time and records the duration against that appointment. Your total daily time continues to include both general and appointment time.
You can complete an appointment while its timer is running. If the timer remains active afterward, stop it from the appointment or from the active timer shown on Home.
If more work is required after completion, reopen the appointment before starting its timer again. Additional time is added to the same appointment history.
Active timer notifications
When a timer is running, Fieldified can show a persistent notification on your device. The notification identifies whether you are clocked in generally or tracking time for a client appointment.
- Tap a general-time notification to open Home.
- Tap an appointment notification to open that visit or assessment.
- Dismissing the notification does not stop the timer.
- The notification disappears after the timer is stopped.
Enable active timer notifications from More > Preferences > Push Notifications in the app and allow notifications in your device settings.
Live Activities for timers on iOS
Supported iPhones can display the running timer on the lock screen and in the Dynamic Island. Connected Apple Watch and CarPlay displays may also show the active timer.
To enable Live Activities:
- In the Fieldified App, go to More > Preferences.
- Under Push Notifications, enable Active Timer.
- Start a timer.
- When iOS asks for permission, tap Allow.
You can change this later from the Fieldified notification settings in iOS.
View visit timers in the schedule list
The schedule list shows elapsed time beside any visit with an active timer.
- Open Schedule.
- Tap the view options icon.
- Select List.
- Locate the visit with the running timer.
Only timers that are currently running appear in the list. See Schedule in the Fieldified App for the other schedule views.
Timesheet tab
The Timesheet tab contains two views:
- Track Time for starting and stopping timers
- Time Log for reviewing recorded entries
You can also review time from Timesheets in the Fieldified web app.
Track Time
The Track Time view shows the active activity, its running duration, your total time for the day, and the available activity buttons.
To track time for a visit:
- Open Timesheet > Track Time.
- Tap Visit.
- Select a visit scheduled for today.
- Confirm that the visit timer starts.
Use the other activity buttons to record general, driving, office, supplies, or break time when those categories are enabled for your team.
Time Log
The Time Log is a chronological timeline of your tracked activities.
- Tap the date selector to move to another day.
- Tap the calendar icon to choose a specific date.
- Review the total time for the selected date.
- Open an entry to see its activity type, start time, end time, duration, and notes.
New manual entries can be added for the current day. Previous dates remain available for review, subject to your permissions.
Edit a timesheet entry
- Open Timesheet > Time Log.
- Select the entry you want to change.
- Update the start time, end time, duration, or note.
- Tap Save Time Entry.
Edits are included in the entry history so administrators can review what changed.
Add a timesheet note
Notes explain the work represented by an entry. Add a note after the timer has stopped:
- Open Timesheet > Time Log.
- Select the entry.
- Enter the details in the Note field.
- Tap Save Time Entry.
The note appears in both the mobile Time Log and the web Timesheets page.
Delete a timesheet entry
- Open Timesheet > Time Log.
- Select the entry and tap Edit.
- Tap the more actions icon.
- Select Delete.
- Confirm the deletion.
Team members can manage their own entries. Users with permission to view and edit everyone’s time can manage other team members from the web Timesheets page.
Overnight timers
A timer that runs past midnight remains associated with the date on which it started. Stop it before starting another timer.
If an overnight timer cannot be stopped from the app:
- Open Timesheets in the Fieldified web app.
- Select the team member and the date on which the timer started.
- Stop the running timer.
- Edit the entry if it included time that should not be recorded.
After the running entry is stopped and synchronized, the team member can clock in or start another timer from the app.
