First steps: basic account setup

Configure the essential Fieldified settings your team needs before creating live work.

This guide covers the first settings to review when your company starts using Fieldified. Complete these basics before inviting the full team or moving active work into the account.

This article is part of the first setup path for Fieldified:

There are two main things to accomplish when getting started:

  • Get your account settings ready.
  • Learn the Fieldified workflow your team will use every day.

You should be an Admin user so you can access company settings, team setup, products and services, templates, and permissions.

Set up your account

Open Settings and work through these first.

Step 1: Company settings

Open Company Settings.

Confirm:

  • Company name.
  • Main phone number.
  • Company email.
  • Address and service area details.
  • Timezone.
  • Business hours.
  • Default scheduling and account preferences.

Time to complete: about 5 minutes.

Step 2: Business profile

Open Business Profile.

Review the information your clients will see on client-facing records. Add or update:

  • Company logo.
  • Brand details.
  • Client-facing contact information.
  • Quote, job, and invoice presentation defaults.
  • PDF/client view formatting preferences.

Time to complete: about 10 minutes.

Step 3: Personal login and user details

Open your user menu in Fieldified and review your personal details.

Confirm:

  • Name.
  • Email address.
  • Password.
  • Phone number.
  • Notification preferences.

This makes sure your login, outgoing user identity, and team assignment details are correct before live work starts.

Time to complete: about 5 minutes.

Step 4: Tax and billing defaults

Open the billing and company defaults in Company Settings.

Add the tax rates and location details your company needs so quote and invoice totals are accurate. Before sending real client documents, create a test quote and invoice to confirm the subtotal, discount, tax, deposit, and total behave the way your team expects.

Time to complete: about 10 minutes.

Step 5: Add your team

Open Manage Team.

Add team members and confirm:

  • Name and email address.
  • Role.
  • Schedule visibility.
  • Work access.
  • Report access.
  • Whether the user should be able to create, edit, delete, export, or approve records.

Then open Roles and Permissions to review the role defaults.

Time to complete: about 5 minutes per first user.

Step 6: Get your team ready for mobile work

Field teams should be ready to view schedules, job details, notes, checklists, files, timers, and client information from the field.

Before rollout, have each field user:

  • Accept their account invitation.
  • Sign in.
  • Review their assigned schedule.
  • Open a test visit.
  • Add a test note or attachment.
  • Review where time entries and checklists live.

Step 7: Set up payment and invoice basics

Open Invoices and create a test invoice after your company settings are in place.

Confirm:

  • Invoice number.
  • Issue date and due date.
  • Payment terms.
  • Line items.
  • Discount and tax behavior.
  • Deposit behavior.
  • Client message.
  • Client view visibility settings.

This gives your billing team confidence before real invoices go out.

Practice the basics

Create a safe test workflow:

  1. Open Clients and add a test client and property.
  2. Open Requests and create a request for that client.
  3. Schedule an assessment on the Schedule.
  4. Convert the request to a quote.
  5. Convert the approved quote to a job.
  6. Create an invoice from the job.

Delete or archive the test records after your team is done practicing.
