Schedule an assessment

Schedule an on-site assessment from a request so your team can inspect work before quoting or booking.

Assessments are scheduled appointments connected to requests. Use an assessment when your team needs to inspect the property, confirm scope, collect photos, take measurements, or answer questions before the request becomes a quote or job.

Open Requests and choose the request that needs an assessment.

When to schedule an assessment

Schedule an assessment when the request needs more information before the next step.

Common examples include:

  • The client needs an estimate.
  • The property needs to be inspected.
  • The team needs measurements or photos.
  • The service scope is unclear.
  • Access, equipment, or safety details need review.
  • A salesperson or estimator must meet the client on site.

For straightforward approved work, you can convert the request directly to a job instead.

Schedule from the request

From the request detail page, choose the assessment action and add the assessment details.

Include:

  • Assessment date.
  • Start and end time.
  • Assigned team member.
  • Assessment instructions.
  • Client and property details.
  • Internal notes.
  • Reminder settings.

The assessment appears on the Schedule and stays linked to the request.

Add instructions

Assessment instructions tell the assigned team member what to inspect and what information to bring back.

Useful instructions include:

  • What the client asked for.
  • Areas of the property to inspect.
  • Photos to capture.
  • Measurements to collect.
  • Existing issues to verify.
  • Questions to ask the client.
  • Materials or equipment to check.

Clear assessment instructions reduce back-and-forth and help the quote or job get created faster.

Assign the right team member

Assign the assessment to the person responsible for inspecting, estimating, or qualifying the request.

Use Manage Team to review users, roles, and team access.

If the assessment affects pricing, assign someone who can collect the information sales needs. If the assessment affects scheduling, assign someone who understands crew availability and service requirements.

Team reminders

Use reminders to help assigned team members arrive prepared.

Reminders are useful for:

  • Same-day assessments.
  • High-priority leads.
  • Assessments with access restrictions.
  • Appointments that require photos, forms, or measurements.

Reminder timing should give the team enough notice to review the request before leaving.

Assessment on the schedule

Once saved, the assessment appears alongside visits, jobs, tasks, and events on the schedule.

From the schedule, dispatchers can:

  • Review the assessment time.
  • See the assigned team member.
  • Open the connected request.
  • Move or reschedule the assessment.
  • Check daily route and capacity.

Reschedule an assessment

If the client changes the appointment time, update the assessment from the request or schedule.

Before rescheduling, confirm:

  • The client has the new date and time.
  • The assigned team member is available.
  • The request still has the correct property.
  • Any reminder timing still makes sense.

After rescheduling, review the schedule so the day still works operationally.

Complete an assessment

After the assessment, update the request with the findings.

Add:

  • Photos.
  • Measurements.
  • Recommended products or services.
  • Notes from the client conversation.
  • Access or safety notes.
  • Pricing context.
  • Follow-up tasks.

Next steps after assessment

After the assessment is complete, decide what should happen next.

You can:

  • Convert the request to a quote when the client needs pricing or approval.
  • Convert the request to a job when the work is approved.
  • Add follow-up notes if more information is needed.
  • Archive the request if the client does not move forward.
