Mass updates to clients

Export, edit, and re-import clients to update settings and information in bulk.

Overview

Use the client export and import workflow to update:

  • Residential or commercial classification.
  • SMS-enabled phone number.
  • Visit and assessment reminders.
  • Job follow-ups.
  • Quote follow-ups.
  • Invoice follow-ups.
  • Archived status.
  • New tags.
  • Text-based client custom fields.
  • Client contact information.

Client import and export require administrative access.

Export your client list

  1. Open Clients.
  2. Open More actions.
  3. Select Export clients.
  4. Choose CSV.
  5. Open the emailed file in Excel, Numbers, or Google Sheets.

Edit your spreadsheet

Do not change the Fieldified client ID column. It matches each spreadsheet row to the existing client record.

Editable settings include:

Is Company?

  • TRUE for a commercial client.
  • FALSE for a residential client.

Text Message Enabled Phone Number

Enter the phone number that receives SMS.

Automated communication fields

Use TRUE or FALSE for:

  • Receives automatic visit reminders?
  • Receives automatic job follow-ups?
  • Receives automatic quote follow-ups?
  • Receives automatic invoice follow-ups?

Archived

  • TRUE archives the client.
  • FALSE keeps the client active.

Clients with unresolved active work cannot be archived.

Tags

Separate tags with commas.

Import adds tags. Use bulk tag editing on the Clients list to remove or replace existing tags.

Custom fields

Enter the new value in its custom-field column.

Import supports text-based client custom fields. Property fields and dropdown custom fields use their dedicated editing workflows.

Re-import your spreadsheet

  1. Save the edited file as CSV.
  2. Open Clients.
  3. Select More actions, then Import clients.
  4. Select Begin import.
  5. Upload the CSV.
  6. Review automatic column matching.
  7. Correct mismatched fields or map a column to a new custom field.
  8. Review the value preview for every mapped column.
  9. Continue to data validation.
  10. Filter to invalid rows and correct errors.
  11. Select Import.

Validation checks:

  • Name: A full name, first name, last name, or company name must exist.
  • Email: Must use a valid format; multiple emails are comma-separated.
  • Title: Must match a supported title.
  • Client ID: Must retain the exported identifier format.

Import runs in the background, allowing other Fieldified work to continue.

After address changes, refresh route optimization or property geolocation so scheduling uses the updated locations.
