Overview
Clients connect the work in Fieldified. Requests, quotes, jobs, visits, invoices, payments, notes, and properties all refer back to a client record.
From the Fieldified App, you can:
- Find clients and recent work
- Review balances and contact details
- Call or message a client
- Create work for an existing client
- Add clients and properties
- Update client, billing, and contact information
The complete client list is also available from Clients in the Fieldified web app.
Client profile
Open Search from the bottom menu, then enter the client’s name or select the client from recently active records.
The profile header shows the client or company name and the current client balance. Use the phone icon to call or the message icon to start a text conversation. If multiple phone numbers exist, select the number to use.
Tap Create to make a request, quote, job, or invoice that is already associated with this client.
A client profile has three tabs:
- Client contains identity, custom fields, properties, billing address, and contact details.
- Work lists the client’s requests, quotes, jobs, and invoices.
- Notes contains internal notes and attachments.
Client
The Client tab is divided into editable sections.
Client details
Tap the edit arrow to update:
- First and last name
- Company name
- Primary display name
- Lead source
- Client custom fields
Properties
Each property card shows its address, tax settings, and property custom fields.
- Tap the add arrow to create another property.
- Tap View All when the client has multiple properties.
- Open a property card to edit its details.
Billing address
Tap the edit arrow beside the billing address to update it. The billing address can match a property or be maintained separately.
Contact details
This section lists the client’s phone numbers and email addresses. A star identifies the primary value used for default delivery and automated communication.
Tap the edit arrow to:
- Add phone numbers and email addresses
- Change existing contact details
- Set a primary phone number or email
- Label a value as main, work, personal, or other
- Specify whether a phone number can receive text messages
Work
The Work tab shows recently active work and each item’s current status. Use the item-type tabs to show only requests, quotes, jobs, or invoices.
Each preview can include:
- Item type and status
- Title, subject, or item number
- Last updated date
- Total price
- Service address
Quotes, jobs, and invoices show their title or subject when one exists; otherwise they show the generated item number. Requests show their title. Tap any item to open it.
Notes
The Notes tab contains internal client notes and attachments. Tap Add Note to add text or files. See Notes and Attachments in the Fieldified App for attachment, linking, offline, and permission details.
Add a new client
You can add a client from quick create or while assigning a client to a new request, quote, job, or invoice.
To use quick create:
- Tap the add icon in the lower-right corner.
- Select Client.
- Complete the sections on New Client.
- Tap Save.
Add from device contacts
Tap Add From Contacts to use a contact already stored on your phone. Fieldified imports the available name, phone number, and email address. Add the property and billing address separately.
Add a name
Enter a first and last name, a company name, or both. When a company name is entered, choose whether it should be the primary client name.
Add phone numbers
For each phone number:
- Enter the number.
- Select its label.
- Enable Receives Text Messages when the number is text-capable and the client has agreed to receive messages.
- Tap Add Another Phone Number for additional numbers.
Text-enabled numbers can receive operational messages, quote and invoice links, and on-my-way updates.
Add email addresses
Enter the email address, choose its label, and tap Add Another Email when needed. Set the primary email that Fieldified should use by default.
Add a lead source
Use Lead Source to record how the client found the business. Select an existing source such as referral, Google, social media, flyer, or vehicle branding, or tap Create New Lead Source to add a reusable custom option.
Add additional information
Tap Add Additional Info to complete client custom fields configured for your organization.
Add a property address
Start entering the property address and choose a suggested result. Address suggestions use the device’s location to prioritize nearby matches, subject to location permission.
You can also enter an address manually for new construction or locations that do not appear in suggestions.
Then:
- Enable Billing Address Matches Property when both addresses are the same.
- Otherwise enter a separate billing address.
- Open Additional Property Info to add tax settings and property custom fields.
- Save the client.
Search tab
The Search tab shows recently updated clients and work that the signed-in user has permission to view. Use it when you remember a recent visit or work detail but not the client’s full name.
Search can match:
- Client name
- Phone number
- Property address
- Custom field value
- Line item
- Quote, job, or invoice number
- Title, subject, or description
- Request title
- Client note
- Transaction number
Filter clients
Select Clients, then filter the list by status:
- Active
- Lead
- Archived
Filter work
Select Requests, Quotes, Jobs, or Invoices to narrow the results. After selecting a work type, choose one of its statuses to isolate records requiring the same follow-up.
The result card displays the current status so you can identify the next action without opening every record.
Search fields vary by selected record type. For example, property-address matching applies when searching clients. Tabs and results also follow user permissions; a user may search work they can access without seeing the full client directory.
