Configure Scheduling and Work Defaults

Set shared defaults for quote follow-up, arrival windows, schedule labels, invoices, statements, and chemical records.

Work settings overview

Work settings define account-wide behavior for quotes, jobs, visits, invoices, and statements.

Open Company Settings and select the work or workflow settings area.

Review existing records after changing a default. Some settings apply immediately to active work, while others are used only when a new record or document is created.

Quote reminders

Quote reminders prompt a team member to follow up on a sent quote that has not moved forward.

These are internal schedule reminders. They do not send a message to the client.

To configure them:

  1. Enable quote reminders.
  2. Enter the number of days after a quote is sent.
  3. Save.

The reminder is assigned according to the configured owner, commonly the person who created the quote.

Use automated quote follow-ups separately when Fieldified should email or text the client.

Job arrival windows

An arrival window tells a client when the team expects to arrive without promising one exact minute.

Select a default duration, such as:

  • None
  • 15 minutes
  • 30 minutes
  • 1 hour
  • 2 hours
  • 3 hours
  • 4 hours

Then choose how the window relates to the scheduled start time.

Start at the scheduled time

A two-hour window on a 9:00 AM visit runs from 9:00 AM to 11:00 AM.

Center on the scheduled time

A two-hour window centered on 9:00 AM runs from 8:00 AM to 10:00 AM.

Select None to turn off the account-wide default.

Changing the default can affect active jobs and visits. Review client reminders and booking confirmations after changing it.

Customize schedule titles

Schedule-title templates control the information shown on calendar items.

Available variables can include:

  • Client full name
  • Client last name
  • Job number
  • Job title
  • Street address
  • City
  • State or province
  • Postal code
  • Client phone number

For example:

{{CLIENT_NAME}} - {{JOB_TITLE}} - {{CITY}}

Paste the required variables into the visit-title template, then save.

Desktop and mobile layouts can present the same values differently because mobile uses a smaller display. Open a visit to see details that do not fit in its schedule label.

Avoid placing sensitive access instructions or private client details in a schedule title.

Invoice defaults

Invoice settings can control:

  • Default subject
  • Whether a quote or job title becomes the subject
  • Default payment terms
  • Invoice-reminder ownership

These values reduce repetitive entry but can still be reviewed on individual invoices.

Statement defaults

Choose whether statement transactions appear newest-first or oldest-first.

Add a statement note, contract, or disclaimer when every generated statement should include the same text.

Review legal and payment language before publishing it as an account-wide default.

Chemical tracking

Enable chemical records for businesses that document pesticide or chemical applications.

Verify changes

After updating work defaults:

  1. Create a test quote and confirm its reminder behavior.
  2. Review the arrival window on a test visit.
  3. Check the calendar title on desktop and mobile.
  4. Create a draft invoice and verify its subject and terms.
  5. Generate a statement preview.
  6. Confirm affected roles still have the required access.
