Track time categories and breaks

Configure timers, track work categories and unpaid breaks, and review time for payroll.

Overview

Time categories keep payable activities and unpaid breaks separate. Team members track time from the Fieldified mobile app, while office users review and edit entries from Timesheets on the web.

Time tracking category availability

The standard time categories are:

  • Visit.
  • General.

Additional categories include:

  • Driving.
  • Office.
  • Supplies.
  • Break.

Break is unpaid and excluded from payable daily totals. Other enabled categories count toward tracked work time.

Clock in and clock out from the home screen

The mobile home-screen timer shows the active category and elapsed time.

  1. Select Clock in at the start of the workday.
  2. Select or switch activities throughout the day.
  3. Select Clock out after the day’s work is complete.

Selecting the timer widget opens the Timesheets area.

Track time in the Fieldified mobile app

The mobile Timesheets area has:

  • Track time, showing the running timer, active category, and daily total.
  • Timelog, listing the day’s completed and active entries.

Open Timesheets from the mobile navigation.

Timer types

  • Visit: Time connected to a scheduled visit.
  • General: Work time without a more specific category.
  • Driving: Travel time.
  • Office: Administrative or office work.
  • Supplies: Supply pickup and purchasing time.
  • Break: Unpaid break time.

Starting a new timer stops the active timer and begins the selected activity.

Manage timers

Visit and General remain available. Driving, Office, Supplies, and Break can be enabled or disabled.

Turn a timer type on or off

  1. Open Timesheets.
  2. Select Settings.
  3. Under Timers, switch the category on or off.
  4. Save.

Disabling a category removes its mobile timer button. Existing entries remain in Timesheets and reports.

Rename a timer label

Office and Supplies can use business-specific labels.

  1. Open Timesheets settings.
  2. Select the edit action beside Office or Supplies.
  3. Enter the new label.
  4. Save.

The new label applies to new entries. Existing entries retain the label used when they were recorded.

Track breaks

Break time is unpaid and excluded from daily payable totals.

Selecting Break opens duration choices. When a duration is selected:

  • A notification appears when two minutes remain.
  • The active break timer displays in blue.
  • The timer changes to red after the selected duration is exceeded.

To track a break

  1. Open Timesheets in the mobile app.
  2. Open Track time.
  3. Select Break.
  4. Choose a duration or No reminder for an open-ended break.
  5. When finished, select the next activity, such as Visit or General.

Starting the next activity ends the break automatically.

Review your entries in the Timelog

Timelog lists the day’s activity entries with:

  • Category.
  • Start time.
  • End time.
  • Duration.

Open Timesheets, select Timelog, then select an entry to review its details.

Review break time in Timesheets

  1. Open Timesheets.
  2. Navigate to the required date.
  3. Review entries labeled Break.

Day view separates paid categories and unpaid breaks so managers can review the complete workday.

Edit a time entry from Fieldified web

  1. Open Timesheets.
  2. Navigate to the entry date.
  3. Select the time entry.
  4. Update the start time, end time, category, or other details.
  5. Save.

Existing entries can be corrected on the web. New timer-based break entries originate from the mobile timer workflow.

Configure timer settings

Users need Manage timesheets permission to change:

  • Duration totals format.
  • Payroll-period start day.
  • Enabled timer categories.

Set the duration totals format

Choose:

  • Hours and minutes, such as 8h 15m.
  • Decimal hours, such as 8.25 hrs.

This setting changes displayed duration totals.

Set the payroll period start day

Choose the weekday that starts the payroll period. Timesheets use this day when grouping entries for review.

View time by category in the Timesheets report

  1. Open Timesheets Labor Report.
  2. Select the date range.
  3. Filter by team member or other criteria.

Each category appears separately, including unpaid breaks.

Break time and payroll integrations

Unpaid break hours stay in Fieldified for timesheet and report review. Payroll integrations receive payable work time according to their configured mappings.

For manual exports or another payroll provider, the export includes time entries and their category labels so payroll administrators can apply company policies.

Frequently asked questions about break tracking

What timer types are available?

Visit, General, Driving, Office, Supplies, and Break. Break is excluded from payable daily totals.

Can I create a break entry from Fieldified web?

Breaks are started through the mobile timer workflow. Existing entries can be corrected from web Timesheets.

Does break time count toward total hours?

Break time is tracked separately as unpaid time and excluded from payable totals.

Do unpaid breaks sync to payroll providers?

Unpaid break entries remain available in Fieldified. Payable time continues through the configured payroll integration.

How are overtime and payroll calculated?

Fieldified structures time for review and export. Apply overtime rules and complete payroll through your payroll process or connected provider.

How are meal and rest-break rules handled?

Configure and review time according to your business policies and applicable labor requirements.

Can I rename timer labels?

Office and Supplies labels can be renamed. Visit, General, Driving, and Break retain their system labels.
